Meeting Minutes
February 10, 2015 held at Wrentham Manor

  • Call to Order at 6:03 p.m.
  • Announcement: recording of meeting

Public Input
  • Mrs. Maxwell complimented the maintenance staff on snow removal. However, she did state her concern over the load on the roofs. Mrs. Bergeron stated that the roofs would not be in peril due to load. Mrs. Lavallee asked how the snow removal process has been. Mrs. Bergeron stated that there have been a few problems at Wrentham Manor and there have been 3 slip-and-falls.
  • Mr. Sposato inquired about the issue regarding heat from January. Mrs. Bergeron stated that issue was resolved.
  • Mr. Sposato also asked about generator maintenance. Mrs. Bergeron indicated that both generators are maintained. Mrs. Cerutti indicated that Depot Court has a separate generator. Mrs. Bergeron explained that the town has directed BHA no not use the portable generator because it is not properly connected. At some time in the future, a permanent generator will be installed.

  • Motion to accept minutes made by Mr. Sposato, seconded by Mrs. Lavallee, motion carried.
  • Correspondence
  • Correspondence received from Bellingham Town Clerk, Ann Odabashian in regard to biennial Ethics Training/Certification. Mrs. Bergeron stated that those who have taken the training can forward their certificates to Mrs. Odabashian.
  • Treasurer’s Report
  • Questions in regard to warrants were answered appropriately by Mrs. Bergeron. Mrs. Lavallee inquired about staff using company property. Mrs. Bergeron explained that the truck is used only during working hours. However, Mrs. Lavallee saw a staff member with the truck at the dentist. Mrs. Bergeron explained that, yes, she allowed him to use the truck at that time. He was working with a contractor at Depot Court and could not leave early enough to return to Wrentham Manor for a scheduled appointment; the appointment was not far from Depot Court.
  • Accountant’s Report
  • Mrs. Bergeron aptly answered all questions.

  • Status quo in regard to administrative duties.

  • Tenant/Participant Activity: State-aided: Processed one new admission; posted sixteen applications, mailed twenty-one applications.
  • Began process for instituting a No Smoking Policy. Discussion ensued.
  • MRVP: administered one Annual reexam, one interim, four HQS Inspections and one issuance of voucher
  • HCV: processed one annuals, one port-in update, and one HQS Inspection; submitted HUD Form 50058.
  • Input six applicants; notified twenty-four applicants that Family/MRVP list is closed.
  • 667-1 Vinyl Siding bids due February 20, 2015.
  • Discussion ensued in regard to the new lock sets. Mrs. Bergeron explained that the lock sets are considered a “class room” or “store room” lock which require a key to enter but the exit is unlocked. The lock sets will be mastered to each community room. The installation will require second floor tenants to either give their guests a key or go down and let them in.
  • Mrs. Bergeron explained the new TAR report.
  • Any other business that may legally come before the board
  • Mrs. Cartier presented an Executive Director Evaluation Survey that will be delivered to all tenants. Motion made by Mr. Hall to utilize the Executive Director Evaluation Survey, seconded by Mr. Sposato, discussion ensued, motion carried.
  • Next meeting is March 10, 2015 at 6:00 p.m. at Wrentham Manor.
  • Motion to adjourn made by Mrs. Lavallee, seconded by Mr. Hall, all in favor, motion carried.
